Our client is a well-established and highly regarded skin and laser clinic in Galway city, with a loyal client base built up over the years and a thriving online skincare shop running alongside the treatment rooms. The owner is hands-on, the standards are high, and the front desk is the engine room of the whole operation. The role is Monday to Friday with no late evenings, and the owner is open and flexible on the roster for the right person.

The owner is looking for a Clinic Coordinator with a real business head, someone who can own the front desk, keep the online shop moving, run the social channels, and help push the clinic forward. The current team is two full time and one part time, so this hire matters. The right person will have a genuine love for skincare and the kind of energy that lifts a busy clinic floor.

What you'll be doing:

• Running the daily diary, bookings, and client flow through Phorest
• Meeting and greeting clients in clinic and being the first voice on the phone
• Handling enquiries by phone, email, and social with a strong focus on converting them into bookings
• Processing payments, invoicing, and supporting the owner with day to day accounts
• Managing the online shop on Shopify, including order processing, packing, and dispatch
• Handling online customer queries and keeping the web shop running smoothly
• Creating and posting content across Instagram, TikTok, and Facebook
• Recommending skincare and homecare to clients alongside their treatment plans
• Supporting stock control across retail and clinical product lines

What we're looking for:

• Spa, salon, or aesthetic clinic background is essential
• A real passion for skincare, ideally with skincare retail or product sales experience behind you
• Confident on booking systems (Phorest experience a plus) and quick to pick up new tech
• Comfortable working with Shopify or a similar e-commerce platform
• Strong social media skills and an eye for on-brand content
• Comfortable with invoicing, payments, and clinic admin
• Warm, professional, well-presented, and calm on a busy desk
• Ambitious enough to want to grow with the clinic rather than coast in it
